Assign records to products and versions
Use stable product identifiers and connect technical documentation, suppliers, releases and incident reports to the affected revision. A folder full of undated files may be less useful than a smaller set with clear provenance. Preserve enough context to reconstruct what existed at the relevant time.
Separate operational access from legal production
Define who can preserve, review and disclose material. Confidential records, personal data and trade secrets require controlled access. Article 9 concerns judicial disclosure with safeguards; an internal readiness system should not expose every preserved record to everyone.
Test retrieval with a realistic scenario
Choose a fictional incident and check whether the team can identify the product state, relevant operators, changes and supporting evidence. Record missing material and ownership of follow-up tasks. This exercise supports preparation, but does not substitute for legal advice or prove that statutory obligations have been met.
Records that help the review
Use the following as a practical starting point. Select and preserve records appropriate to the product, incident and applicable procedure.
- Product-linked record index
- Retention and preservation ownership
- Access and confidentiality classification
- Incident retrieval exercise and unresolved gaps
The record mapper on this site organises topics for review. It does not assess liability or upload case files.
